Hospital operator

Clinical and finance records that reconcile themselves.

A hospital operator ran its clinical record system, its ERP and its CRM side by side, and staff kept them in step by hand. We built agents that reconcile the three, check claims before billing and draft purchase orders for a person to approve.

Clients are not named, and identifying details are withheld or changed to protect their confidentiality. Each case illustrates the work rather than giving an exact account of it.

The problem

What the old way cost them.

Staff spent about 160 hours a week reconciling records between the clinical record system, the ERP and the CRM. The matches lived in a spreadsheet, and transcription errors crept in. None of the three systems shared data with the others.

Before
  • 160 h a week reconciling by hand

With Celara
  • Records reconcile across all three

What we built

What the system does, outcome by outcome.

  • Clinical, finance and CRM records reconcile without a spreadsheet in between.
  • Each mismatch shows the record on both sides.
  • Claims are coded and checked before billing, and the ones at risk of denial are flagged.
  • Purchase orders arrive as drafts, and none reaches the ERP until a person approves it.
  • Insurer receivables show missing documents, deductions, and what was billed against what was paid.
AI and people

Where AI works, where people decide.

Rules

Matching records across the three systems and coding claims follow fixed rules.

Predictions

Denial risk and demand forecasts are predictions.

Generation

Agents draft purchase orders and answer staff questions from live alerts, orders and claims.

People decide

A person signs off every purchase order before it reaches the ERP.

Governance

How it’s governed. Every step on record.

Governance here rests on approval gates and an audit trail. Agents draft and flag, and people decide what commits.

  • Purchase orders commit only after a named person approves them.
  • No agent approves an order.
  • Each agent logs what it changed, before and after, in a log that cannot be edited.
What changes

What the system does every day.

  • Records reconcile as they change.
  • Claims are checked before they are billed.
  • Purchase orders wait for a signature.
  • Every agent step is on record.
